This position will report to the Project Manager and have responsibility for providing onsite administrative support to a busy construction project team.

Principal Functional Responsibilities:

  • Provide administrative support to the project team including scheduling and setting up for meetings, processing incoming and outgoing mail and courier pickups and deliveries, assisting with correspondence, making copies, scanning documents, maintaining office supplies, and managing distribution.
  • Answer phones, including screening of calls, handling routine items, and taking/relaying messages; Greet and direct all visitors.
  • Assist with tracking and recording payroll records; perform transactional data entry with a high degree of accuracy.
  • Collect packing slips, review invoices for accuracy, cost code packing slips, and send to AP Administrator timely for invoice payments.
  • Write, proofread and distribute/mail correspondence, reports and letters as requested.
  • Maintain project filing system (assist, monitor, and enforce usage).
  • Maintain project and emergency phone lists.
  • Other duties as assigned.

Essential Qualifications and Skills:

  • High School diploma or equivalent required; Experience working in the construction industry is preferred.
  • 2 years of related administrative experience in a business office setting is preferred.
  • Computer literacy with proficiency in Microsoft Office is required, including Word, Excel, Outlook, and Internet Explorer.
  • Must be a team player with a positive attitude and the desire to learn new things.
  • Demonstrated successful ability to build positive partnerships and work collaboratively with the Project Team and other project stakeholders.
  • Excellent verbal and written communication, time management, and organizational skills.
  • Ability to manage tight deadlines.
